how we work
A clear five-step process that takes a business problem to a working, secure solution, with no surprises along the way.
book a demowhy a process matters
Most technology projects go wrong for the same reasons: nobody agreed what success meant, the scope kept shifting, or the people who do the work were never asked. Our process is designed to remove those risks, one step at a time.
Each step ends with something written that you can read, question and approve before we move on.
discover
We start with a conversation, not a proposal. We learn how the work really happens today, where it slows down and what a good result would look like for your team and your customers.
Discovery is where most of the value is created. Before we suggest any tool, we sit with you (and, where possible, the people who do the work) and map the process as it truly runs, including the awkward exceptions that never make it into a flowchart.
We look at the tools you already use, where information gets copied by hand, which tasks wait on one person, and which problems customers actually notice. We also agree what success means in plain numbers you already track, such as reply time, missed calls or hours spent each week.
- A call or workshop to map the current process
- A review of your tools, data and access
- A short list of the problems worth solving first
- A clear definition of what success looks like
What you get: A written summary of what we found and a recommended first step, so you can decide with the facts in front of you.
design
We turn what we learned into a plan you can read: what will be built, how information will flow between your systems, who can see what, and how we will know it works.
Design is where we choose the simplest technology that solves the problem. We decide whether to buy, configure or build, and we write down the scope so that everyone shares the same picture before work begins.
We define the data flow, the integrations, the permissions and the exceptions. For AI and voice solutions we also agree what the system may answer, when it must hand over to a person, and how conversations and personal data are stored.
- Scope, deliverables and what is out of scope
- Data flow and integration map
- Handover rules and human review points
- Measures of success and a realistic timeline
What you get: A clear scope and timeline in writing, and a design you have approved before anything is built.
build
We build or configure the solution in small, visible steps, so you see progress early and can correct course before small misunderstandings become expensive ones.
We work in short stages and show you working pieces along the way, not a single reveal at the end. Each stage is tested against your real examples, with your wording, your edge cases and your data shape.
Security is part of the build, not an afterthought: least-privilege access, protected credentials, backups, and only the integrations the solution genuinely needs.
- Regular working demos at each stage
- Integrations with your CRM, calendar, forms or messaging
- Access controls and protected credentials
- Documentation written as we go
What you get: A working solution built to the agreed scope, with notes your team can follow.
verify
Before launch we test the normal cases, the exceptions and the handover, with real examples from your business. Nothing goes live until you are comfortable with how it behaves.
Verification means trying to break it. We test the common requests, the messy ones, the missing information, wrong inputs and the moments where a person must take over. For voice and chat agents, we test with the phrases your customers really use.
We also check permissions, backups, error alerts and what happens when a connected service is unavailable. We then train your team and agree who owns what after launch.
- Testing with real scenarios and edge cases
- Permission, privacy and backup checks
- Team training and a handover session
- A launch plan with a way to roll back
What you get: A tested launch, a trained team and a named owner for every part of the system.
improve
Launch is the beginning of learning. We review how the solution performs in real use, fix what needs fixing and widen what works, at a rhythm that suits your business.
Once real work flows through the system, you will learn things no plan could predict. We review conversations, errors and results with you, make the small changes that matter most and add new capabilities when you are ready.
Ongoing support also covers the unglamorous work that keeps a system healthy: updates, security patches, backups and monitoring.
- Regular review of results against the agreed measures
- Updates, security checks and backups
- Small improvements each month, as agreed
- Planning for the next most valuable step
What you get: A system that keeps improving and stays secure, with someone accountable for it.
what we need from you

Sample enquiries, calls, forms or documents so that we design for your actual situation.
Honest priorities
What matters most this quarter, so the first step solves the right problem.
questions we hear
How long does a project take?
It depends on the size of the problem and the number of systems involved. After discovery we give you a written scope and timeline, and we show working pieces early so there are no long silences.
Do I need to know technology to work with you?
No. We explain things in plain language, write down every decision and tell you what we need from you at each stage.
What if my needs change halfway?
They often do, and that is fine. We agree changes openly, explain what they affect and update the scope in writing so that cost and timeline stay clear.
Who owns what you build?
We agree ownership, access and documentation during design, so you are never locked out of your own systems.
Do you keep working with us after launch?
If you want us to. Many clients choose a support plan covering updates, backups, monitoring and a set amount of improvement time.
Tell us the problem. We will map a practical first step, with no obligation.
